Contractor WHS Policy

This policy outlines the way Exclaim IT will manage the onboarding, placement and safety of the Independent Contractors at a host site.

Exclaim IT is committed to ensuring our workers incorporating employees, independent contractors and
visitors remain free from risk to their health and safety at work. We are committed to continual improvement
of safety performance and the elimination of workplace injury and illness. As an employer and a provider of IT
contracting services, we understand the importance of working with all stakeholders to achieve our safety
objectives.

“Host Employer” An employer other than Exclaim IT who request the placement of a worker.
“Independent Contractor” A person engaged by Exclaim IT to be placed at the host employer under
arrangement with Exclaim IT.

Independent Contractors are responsible for:

  • Following all work health and safety policies and procedures.
  • Ensuring their own and others’ health and safety is not affected by their actions.
  • Working with hosts and business partners to achieve the objectives outlined in this policy; and
  • Reporting all incidents including unsafe work practices, hazards, near misses and injuries.

Independent Contractors shall complete an online induction in the Exclaim IT Contracting WHS Policy and relevant system information prior to commencing in work on a host site. All Independent Contractors should be provided with an induction to the HOST site.

Information regarding the host safety system and potential hazards and risk at the site will be obtained and reviewed by the Exclaim IT WHS Advisor. Relevant information will be provided to the Independent Contractor.

When an Independent Contractor is working in a Host site, they are required to:

  • Comply with all Host WHS Requirements
  • Advise Host supervisor of any safety hazards
  • Report any injury or incident ASAP to Host Supervisor and Exclaim IT Contact.
  • Follow Host sites emergency plans
  • Participate in any Host emergency drills or directions

When anyone is working from home, they need to follow the guidelines below:

  • Comply with the Exclaim IT “Working from Home Policy” requirement via the online portal.
  • Advise Exclaim IT of changed working arrangements.
  • Comply with all requirements regarding working from home of both the Exclaim IT AND Host working from home requirements.
  • Specify address/location where you are working.

Exclaim IT will maintain communication with contractor and host on a regular basis. This could be only of the
following activities:

  • Emails
  • Meeting with Exclaim IT or Host Supervisor
  • Text messages
  • Newsletters

Bullying, harassment and violence is not only unlawful during working hours or in the workplace but is strictly prohibited in any work-related events such as conferences, work functions, office parties or business trips. Detailed procedures regarding acceptable conduct in the workplace and how to report any concerning issues
can be found in the Exclaim IT WHS Handbook.

Alcohol and other substance abuse may impair an Independent Contractor’s ability to perform their duties properly and can have serious adverse effects on the health and safety of the individual and others as well as the reputation of the organisation. Exclaim IT has a ‘zero tolerance’ to drugs and alcohol. Independent Contractors are not permitted to work while under the influence of drugs or alcohol.

An Independent Contractor has a responsibility to take prescription and pharmacy drugs in accordance with the instructions of their medical practitioner and normal directions relating to use of the drugs.

They are also required to advise their supervisor if taking this medication can impair their performance.

Independent Contractors placed at Host employer work sites that have implemented regular or random drug
and alcohol testing are required to participate in the Host Organisation’s testing program. This may include
pre-employment drug testing programs.

All records will be properly stored, secured and retained in line with the requirements of the Exclaim IT Quality Management System, Document and Records Management Process.
